PART 4: From Excel Files to Centralized License Management (A No-Code Platform Built with AppSheet)

For years, we have been managing license renewals, subscriptions, maintenance contracts, and warranty extensions from dozens of different vendors across multiple customers.

The information we needed was already available. The problem was not a lack of data. The problem was that the data was scattered across different locations.

Some records were stored in Excel spreadsheets, some reminders were maintained in Outlook calendars, and some information existed only in the personal notes of individual team members.

Over time, this created three major challenges:

  • Access to information became dependent on specific individuals.
  • Data related to the same customer could be spread across multiple files.
  • There was always a risk of overlooking upcoming renewals.

For this reason, without changing the way our team worked, we decided to develop a centralized license management platform.

Designing Around the Need, Not Starting from Scratch

Our goal was not to build a new CRM system.

Our goal was simply to centralize license management and renewal tracking.

The data layer of the platform was built on Google Sheets.

Google AppSheet was used as the application layer.

This allowed us to create a fully functional system without going through a traditional software development process.

While Google Sheets serves as the underlying database, AppSheet manages the user interface and business rules. As a result, we were able to build a solution where users can create, manage, and report on records without requiring any technical expertise.

Centralizing Reference Data First

Customer, vendor, and supplier information is stored in separate reference tables within the platform.

These records only need to be entered once.

When creating a new license record, users simply select the relevant customer or vendor from a list instead of entering the same information repeatedly.

This approach eliminates duplicate data, prevents naming inconsistencies, and improves reporting accuracy.

If a new customer or vendor needs to be added, it can be created directly from the reference tables and becomes immediately available throughout the platform for future use.

Creating a New License Record

Adding a new license is intentionally simple.

Users only need to enter basic information such as the customer, vendor, product, contact person, email address, start date, end date, and transaction type.

All remaining calculations are performed automatically by the system.

This approach allows users to focus on entering the required information while the platform handles data validation, record relationships, and calculations in the background.

Automatic Remaining-Time Calculation

One of the most valuable features of the platform is the automatic calculation of license validity periods.

When the start and end dates are entered, the system automatically calculates the remaining number of days and categorizes each record accordingly.

For example:

  • Expired
  • Less than 30 days remaining
  • 30–60 days remaining
  • 60–90 days remaining
  • 90–120 days remaining
  • More than 120 days remaining

This structure makes it immediately clear which licenses require attention and should be prioritized for renewal.

Instead of manually filtering Excel spreadsheets or checking calendar reminders, the platform automatically classifies all records and keeps the information up to date.

Managing the Entire Operation from a Single Screen

The greatest benefit of the platform has been visibility.

Team members no longer need to navigate through multiple Excel files to find information.

All licenses can now be viewed and managed from a single centralized location.

Through the detail screens, users can access customer information, product details, contact information, quotation status, and renewal status associated with each license.

Because both the list view and detailed information are available within the same interface, users can work more efficiently without constantly switching between different screens or applications.

Visual Reporting for Immediate Insight

When managing hundreds of records, it is not always easy to identify licenses approaching critical renewal dates simply by reviewing lists.

To address this, we created graphical summary views within the dashboard.

At a glance, users can see expired licenses, upcoming renewals, and licenses that will require attention in the near future.

This visual representation provides operational managers with a clear overview of the current situation and helps them prioritize renewal activities more effectively.

Why Did We Need a System Like This?

Our objective was never simply to store license records in a single location.

The real goal was to create a shared workspace where license assets, renewals, and related customer information could be managed centrally and consistently.

Previously, this information was scattered across multiple Excel files, personal notes, and calendar reminders. As a result, access to information became more difficult, processes became dependent on specific individuals, and the risk of overlooking upcoming renewals increased over time.

Today, the entire team works from the same data set. Customer records, license information, renewal statuses, and quotation activities can all be tracked through a single platform.

By centralizing information, we have reduced data fragmentation and improved the visibility and manageability of our operational processes.

Conclusion

This project is not a large-scale software development initiative, nor does it involve a significant budget.

Instead, it is a practical solution designed to eliminate many of the manual tasks and inefficiencies that consume time in day-to-day operations.

By leveraging Google Sheets and AppSheet, we created a centralized platform for managing customer, vendor, and license information. Renewal activities are now clearly visible, and automated notifications help ensure that critical dates are not missed.

Today, team members no longer spend time searching through multiple files for information. Everyone works from the same interface, accesses the same data, and shares the same operational view of the business.

Some of the most valuable digital transformation initiatives do not come from complex technologies. They come from simple, well-designed solutions that make everyday business processes easier to manage, easier to monitor, and more efficient to execute.
